WEBSITE PRIVACY NOTICE
Last updated: 29 June 2026

WHO WE ARE
Until the company is incorporated, the organisation responsible for your personal information is Hayley Doubtfire and Katie Doubtfire, trading as Doubtfire Creative.

Contact email: hello@doubtfirecreative.co.uk

This notice explains what personal information we collect through our website, why we use it, who we share it with and the rights available to you.

THE INFORMATION WE COLLECT

Information you give us:

  • Your name, email address and any information included in a contact form or email.
  • Your mailing-list preferences and a record of when and how you subscribed.
  • Information submitted through a specific interest list, such as DC Next, a production, an audition, Christmas at the Playhouse or the Youth Voice Lab.
  • An age band and whether a DC Next enquiry is being made by a young person or a parent or carer.
  • Information you provide when asking for an accessible format, making a complaint or exercising a data-protection right.

Information collected when you use the website:

  • Technical information such as IP address, browser, device type and security logs.
  • Information about how the website is used, where analytics cookies have been accepted.
  • Cookie choices and preferences.
  • Information generated by embedded content or third-party services, where these are used and permitted by your cookie choices.

SENSITIVE INFORMATION
Our launch-stage mailing-list and interest-list forms are not designed to collect medical information, diagnoses, safeguarding information or other special-category personal information. Please do not include this information in a general contact or interest form.

Where access, health or safeguarding information is needed for someone to take part in a future activity, it will be collected through a separate registration process with additional privacy information and appropriate safeguards.

WHY WE USE YOUR INFORMATION

  • To respond to enquiries and discuss possible work: legitimate interests and taking steps at your request.
  • To manage a specific interest list or waiting list: consent.
  • To send the general Doubtfire Creative newsletter: consent.
  • To operate, protect and improve the website: legitimate interests.
  • To use non-essential analytics or embedded technologies: consent.
  • To keep evidence of consent and respect opt-outs: legitimate interests and legal obligations.
  • To handle complaints, legal duties or legal claims: legal obligation and legitimate interests.

Where we rely on consent, you can withdraw it at any time. Withdrawing consent does not affect the lawfulness of anything already done before withdrawal.

MAILING LISTS AND INTEREST LISTS
Joining a specific interest list does not automatically add you to the general Doubtfire Creative mailing list. We will only send wider news and marketing where you have made a separate choice to receive it.

Every marketing email will include an unsubscribe option. We may keep a minimal suppression record after you unsubscribe so that we do not accidentally contact you again.

YOUNG PEOPLE AND DC NEXT
DC Next is intended for young people aged 14–21. A young person aged 14 or over may join the interest list themselves, or a parent or carer may register interest on their behalf.

At interest-list stage, we ask only for limited contact information and an age band. We do not ask for medical, access or safeguarding details until someone moves to a formal registration process.

The website and interest forms are not intended for children under 13. A parent or carer should contact us directly about any enquiry concerning a child under 13.

WHO WE SHARE INFORMATION WITH
We use trusted service providers to operate the website and communicate with you. These may include:

  • Automattic and WordPress.com, which host and support the website and may process information about visitors and form submissions.
  • Titan, which provides our business email service.
  • Website, IT or administrative contractors who need limited access to support our systems.
  • Professional advisers, insurers, regulators, law-enforcement bodies or public authorities where disclosure is necessary or required by law.
  • Venues or delivery partners where this is necessary for a specific activity and you have been told about the arrangement.

We do not sell personal information to advertisers.

HOW LONG WE KEEP INFORMATION

  • General enquiries: normally up to two years after the last meaningful contact.
  • General mailing list: until you unsubscribe or we close the list, with inactive contacts reviewed periodically.
  • Specific interest or waiting lists: until the relevant opportunity or launch has concluded, followed by a review. Information will normally be deleted within 12 months unless you separately join another list.
  • Consent records and suppression information: only for as long as reasonably needed to demonstrate consent and respect an opt-out.
  • Website security and technical records: in line with provider settings and no longer than necessary.
  • Complaints or legal claims: normally up to six years after the matter closes, where needed.

HOW WE PROTECT INFORMATION
We use proportionate technical and organisational measures, including restricted access, strong passwords, two-factor authentication where available, secure website connections and careful selection of service providers.

YOUR RIGHTS
Depending on the circumstances, you may have the right to access, correct, delete, restrict or receive certain personal information, object to certain uses, withdraw consent and complain.

To exercise a right, email hello@doubtfirecreative.co.uk. We may need to confirm your identity before responding.

COMPLAINTS
Please contact us first so that we can try to resolve your concern. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk or by telephone on 0303 123 1113.

CHANGES TO THIS NOTICE
We may update this notice when our organisation, website, suppliers or services change. The latest version will always be published on this page with its revision date.
